Future developments for MiDatabank

Future Developments

On 10th March 2006, MiDatabank User Group agreed the following priorities for development/ enhancement of the system. Prioritisation was ranked with 10 = most urgent to 1 = least urgent. Zero = not to be done. Developments will be targetted in priority order.

Searching/ Archive Retrieval:

Improve search facility to make more comprehensive and versatile, including: 8 overall
   
Search under more specific headings (e.g. enquirer name, patient name) and enable limiting after completing an initial search. 8
Ability to limit search to “specialist file referral” headings. 5
Facility to flag “dangerous” enquiries, so clearly identified in a search. 3
Facility to retrieve Q&As from NeLM as prioritized part of search results. 7
Facility to archive old enquiries so that they are only accessible by administrator because they are too old (whole years only). Administrator can alter the default for time after which enquiries are archived. 6
Correct fact that MiD entered enquiries are seen in date order with most recent first but DiScan enquiries appear with the oldest first. 6
   
Ability to flag completed and archived enquiries for easy follow-up and retrieval. Ability to set a time for the system to remind MI manager do this. 4


Research:

Item Priority
Incorporation of Standard Search Patterns and/or other means of tying sources to specific enquiry types. 5
Use of (?customisable) keyboard shortcuts to identify specific sources. 1
Automatic update of Resource list in line with UKMi Minimum Resource list. 10
Incorporate an “on hold” or “waiting icon” when waiting to hear back from a Pharmaceutical company or waiting for an inter-library loan for example. 4


Reporting:

Versatile reporting function enabling reporting by a variety of modes (eg by User name/ Enquiry type/Answerer’s name). 8
Ability to plot graphs/charts of workload data within MiDatabank 6
Facility to inactivate Origins/ Organisations/ Individuals so that they no longer appear as choices to select when inputting enquiries, but still show up on reports. 10
Enable reporting by Specialist File referral so that e.g. referred NHSD enquiries can be identified. 8

Quality Assurance:

Spellcheck facility 7
Set compulsory fields as agreed with UKMi clinical governance working group. 9
Develop the system to automatically send out user survey questionnaires and analyse them. 1
Word find facility (control + F). 5
Administrators to be able to add keywords retrospectively where enquiry closed. 5
Facility to add attachments to notes section. 7
Develop system to automatically record figures & dates when eg. in-tray & in-progress trays exceed a certain number for perfomance standards. 1


Communication with Enquirers:

Facility to import/update enquirer details from Trust email address book into Individuals/ Organisations. Probably for Microsoft only. 0 (unworkable)
Live links for email address so that they can click on and link to the users email to create a new message. 6
Create letter/fax button, possibly with adaptable Word templates, so that all enquirer details automatically incorporated including title and answer. 1
Look at a facility to email the answer field out directly to the enquirer. 7
Unused address lines in organisation list not to be shown as blank spaces in Enquiry mode. 3
Ability to copy and paste email and postal addresses from the enquirer details field. 5


Training:

Develop MiCAL to include enquiries handled within MiDatabank for training purposes. 10

Other:

Item Priority
Add a facility to calculate creatinine clearance, ideal body weight, and body surface area. Possibly others. 2
Have an ability to nominate an authoriser for e.g. individual pre-reg enquiries and to see who that is from the authorisation tray without having to open the enquiry.

Leave keyword selection box blank after word chosen, enabling quicker multi-select. 4
Age box to include 'units' as a drop down box i.e. days, months, years. 1
If you open an enquiry which someone else already has open could you get a message saying “record locked by another user”? 0 (unnecessary)
The “Clinical” section carrying patient details has a notes box which prints as “Drug” in the printed version. can this wrong title be removed. 5
