You can browse general information about MiCAL anonymously; however, to access the educational content of MiCAL, you need to login to gain access to the content. To login, you need to be registered with MiCAL. For registration, We need to collect some personal information.

For organisational leads, We will collect the following personal information:
 
  • Name of organisation, first name, last name, email address, password, contact address of organisation
For assessors, We will collect the following personal information:
 
  • Name of organisation, first name, last name, email address, password, staff group, location
For learners, We will collect the following personal information:
 
  • Name of organisation, first name, last name, email address, password, learner group, location
For all people using MiCAL, we will also collect the year for which the licence is valid.

We refer to the NHS Trust, Hospital or other organisation which has purchased a site licence for MiCAL as a customer. We will collect information about a customer and where applicable, We will collect personal information about the person who acts as the contact for a customer's order. For a customer contact, We will collect the following personal information:
 
 
  • Name of the customer contact, name of the organisation, address of the organisation, email for the individual at the organisation

2. How will We collect the information?

We collect data about a customer and where applicable, a customer contact, from the order form used to purchase a site licence. The order form is in the form of a pdf.

Organisational lead: when the customer contact is also the organisational lead
Except for the password, We initially collect information about an organisational lead from the pdf order form. The password for an organisational lead is provided by CoAcS. Once an organisational lead is registered, any changes made to the personal information (such as a change to the password) are collected using the online form available in MiCAL.

Organisational lead: when the customer contact is not the organisational lead
Except for the password, We initially collect information about an organisational lead from the customer contact. The password for an organisational lead is provided by CoAcS. Once an organisational lead is registered, any changes made to the personal information (such as a change to the password) are collected using the online form available in MiCAL.

Assessor
Except for the password, an organisational lead provides the personal information about an assessor. The password for an assessor is generated by MiCAL. Once an assessor is registered, any changes made to the personal information (such as a change to the password) are collected using the online form available in MiCAL.

Learner: when an organisational lead or an assessor sets up a learner
Except for the password, either an organisational lead or an assessor provides the personal information about a learner. The password for a learner is generated by MiCAL. Once a learner is registered, any changes made to the personal information (such as a change to the password) are collected using the online form available in MiCAL.

Learner: when a learner requests that an organisational lead registers them
When a learner requests that an organisational lead registers them, We collect personal information about the learner (including their password) from the online request for registration form.

3. How will We use your information?

For organisational leads, assessors and learners We will use your personal information to grant you access to the restricted areas of MiCAL.

For customer contacts, We may use your personal information to contact you for the express purpose of doing business with you.

4. How will We store your information?

Personal information that has been collected through registration or from order forms is securely stored in the UK. All servers and back up devices are stored within the UK. We can provide information about the storage services if required.

MiCAL is available via an annual subscription which covers the use of that year’s version of MiCAL. Each year MiCAL is updated. There is a period of approximately one month during which the newly released version and the previous version of MiCAL are both available. During this overlap period, We will continue to store the data from the previous year’s version. Once the overlap period has elapsed, We will remove the data for assessors and learners from the previous year’s version.

We store customer and customer contact information for as long as is necessary for Us to keep customers up to date about site licence renewal. We store organisational lead information in order to enable site licence renewal.


5. Will you be contacted for marketing purposes?

We may contact a customer contact about MiCAL. We may inform the customer contact about Our other products.

6. Will We share your information with anybody else?

We will never share any information or personal information with a third party provider.

7. Use of credit cards details

The following only applies to customers.

We do not store any credit card details and do not currently provide any form of online e-commerce. Payments, usually relating to an invoice, are submitted to Us directly via BACS but occasionally a credit card may be offered. Any information used to process such a payment is written down by Us and then destroyed. No payment or personal information is ever stored by Us and is therefore not used for any other purpose than facilitating immediate payment.


8. What are your data protection rights?

You have the right to be informed about the collection and use of your personal information; the earlier part of this privacy statement tells you about Our collection and use of your personal information.
